Cancellation & Refund Policy

At Vaaniz ("we," "us," or "our"), we are committed to providing exceptional point-of-sale and inventory management software. We believe in transparency and want to ensure our users clearly understand our billing, cancellation, and refund practices.
By subscribing to our Services, you agree to the terms outlined in this Cancellation & Refund Policy.
1. The 30-Day Free Trial
To ensure Vaaniz is the perfect fit for your business, we offer a completely risk-free 30-Day Free Trial. During this period, you have 100% unrestricted access to all premium features, POS applications, and dashboard analytics. No credit card is required to start your trial.
Because we provide this comprehensive 30-day evaluation period, we expect users to fully test the platform before committing to a paid subscription.
2. Cancellation Policy
- How to Cancel: You can cancel your Vaaniz subscription at any time directly from your Admin Dashboard by navigating to Settings > Billing > Cancel Subscription. You do not need to call or email us to cancel.
- Access After Cancellation: If you cancel your subscription before the end of your current paid billing cycle (monthly or annual), your cancellation will take effect at the end of that cycle. You will retain full access to the Services until that date.
- Data Retention: Upon cancellation and the expiration of your billing cycle, your account will be downgraded. We strongly recommend exporting your inventory and customer data before your billing cycle ends. Vaaniz reserves the right to delete inactive account data after a standard grace period, in accordance with our Privacy Policy.
3. Refund Policy for Subscriptions
Because we offer a full-featured 30-day free trial for you to evaluate the software, all subscription charges (both monthly and annual) are non-refundable.
- No Prorated Refunds: We do not provide prorated refunds or credits for partially used billing periods. If you cancel a monthly or annual plan halfway through the cycle, you will not receive a refund for the remaining days.
- Auto-Renewal: Subscriptions automatically renew to ensure uninterrupted service to your business. It is your responsibility to cancel your subscription prior to your renewal date if you no longer wish to use Vaaniz. We do not issue refunds for forgotten cancellations.
4. Add-Ons and E-Way Bill Credits
Vaaniz offers prepaid add-ons, such as E-Way Bill generation credits. These are consumed on a per-use basis.
- Non-Refundable: All purchases of prepaid credits or digital add-ons are final and non-refundable.
- Non-Transferable: Credits are tied to your specific workspace and cannot be transferred to another account or redeemed for cash.
- Expiration: Unused credits remain in your account as long as your workspace is active, but will be forfeited if your account is permanently closed or deleted.
5. Upgrades and Downgrades
- Upgrades: If you upgrade your plan in the middle of a billing cycle, you will be charged a prorated amount for the new plan for the remainder of that cycle.
- Downgrades: If you downgrade your plan, the new lower rate will take effect at the start of your next billing cycle. We do not issue partial refunds for downgrading a plan mid-cycle.
6. Exceptions
We may, at our sole discretion, issue a refund or account credit in highly exceptional circumstances, such as:
- A verified billing error or duplicate charge caused by our payment processor.
- Extended, unscheduled server downtime that severely impacts your business operations, as determined by our Service Level Agreement (SLA).
If you believe you have been charged in error, you must contact us within 7 days of the charge.
