📦 Inventory & Product Management
The Vaaniz Inventory module is designed to handle everything from a small grocery store to a complex boutique with hundreds of clothing sizes and colors.
To access your products, tap the Inventory (Cube icon) tab on your main navigation bar.
1. The Inventory Dashboard
Your dashboard gives you a bird's-eye view of your stock, intelligently grouped by Category.
- Smart Search: Use the search bar at the top to instantly find products by Name, Category, or by scanning their Barcode.
- Low Stock Alerts: Tap the Warning Icon (!) next to the search bar. This instantly filters your entire shop to show only items that have fallen below your required minimum stock level.
- Quick Stock Update: Notice an item running low? You don't need to open the full edit screen. Simply tap the Stock Pill (e.g., "12 Left") directly on the dashboard to quickly type in a new stock quantity.
- Category Management: * Tap the + icon in a category header to add a product directly to that group.
- Tap the Pencil icon to rename a category.
- Tap the Barcode icon to add the entire category to your print queue.
2. Adding & Editing Products
To add a new item, tap the + icon at the top right of the dashboard.
Basic Information
- Image: Tap the camera icon to snap a photo or upload an image from your gallery. Visuals help staff identify products faster.
- Barcode / SKU: Tap the Scanner icon to use your phone's camera to scan the manufacturer's barcode. Vaaniz will instantly link it. (Note: You can scan multiple barcodes for the same item!).
- HSN Code: If you are in India and have GST enabled, enter your HSN code here to ensure your invoices are legally compliant.
Simple Mode vs. Variant Mode
Vaaniz adapts to what you are selling using the Variant Mode switch.
- Simple Mode (Default): Use this for standard items (e.g., a packet of chips or a bottle of water). You simply enter the Cost Price, MRP, Discount, and Stock.
- Variant Mode: Turn this ON for items that come in different sizes, colors, or weights (e.g., a T-Shirt in S, M, L, or Rice in 500g and 1kg). Instead of creating 5 different products, you create one "Master Product" and add specific variants to it, each with their own unique price and stock level.
Batch & Expiry Management
(If enabled in your Shop Setup) For pharmacies or FMCG stores, instead of entering a flat stock number, you will add Batches. Enter the Batch Number, Quantity, Manufacturing Date, and Expiry Date. Vaaniz will automatically calculate your total stock based on active batches.
3. Printing Barcode Labels
You don't need to buy expensive pre-printed barcodes. Vaaniz allows you to generate and print your own custom barcode stickers.
How to Print:
- On your Dashboard, tap the Checkbox icon next to any product (or variant) to add it to your Print Queue.
- Tap the floating Printer Button at the top right.
- Smart Filtering: Turn on "Skip Pre-Barcoded Items" so you don't waste paper printing stickers for items that already have a manufacturer's barcode printed on their box!
- Choose your Paper Format:
- Thermal Roll: If you have a mini Bluetooth printer, select this, customize your width/height, and tap Print BT.
- A4 Sticker Sheet: If you use a standard office printer, select A4. You can define exactly how many columns and rows of stickers are on your page, and Vaaniz will generate a perfect, perfectly-spaced PDF sheet.
4. Bulk Import / Export (CSV)
Moving from another software? Don't add items one by one.
- Export: Tap the Download icon at the top right to save your entire shop's database to an Excel/CSV file.
- Import: Tap the Upload icon, select a formatted CSV file, and Vaaniz will instantly populate your shop with hundreds of products in seconds.
