🚚 E-Way Bills & Transportation Management

1. Generating a New E-Way Bill

When you create a B2B or B2C invoice that requires shipping, open that invoice from the Orders tab and tap Generate E-Way Bill.

Step 1: Party Details (Verify & Edit)

  • Vaaniz automatically pre-fills your shop's dispatch Pincode and the customer's delivery Pincode from the invoice.
  • Ensure the Customer GSTIN is exactly 15 characters (leave it blank for Unregistered/URP customers).
  • Ensure the Dispatch PIN and Delivery PIN are exactly 6 digits.

Step 2: Transport Mode & Distance

  • Select how the goods are traveling: Road, Rail, Air, or Ship.
  • Enter the approximate Distance in KM. (If you don't know the exact distance, you can tap the built-in "Calculate PIN to PIN distance" link to check the government's official distance calculator).

Step 3: Vehicle & Transporter Info

  • For Road Transport: You must provide either a Vehicle Number (e.g., MH04AB1234) OR a Transporter ID (the transport company's GSTIN).
  • For Rail/Air/Ship: You are legally required to provide the Document Number (e.g., RR No, Airway Bill, or Bill of Lading) and the Document Date.

Tap Generate E-Way Bill. Vaaniz securely communicates with the government portal and instantly returns your official 12-digit E-Way Bill Number and validity date!


2. Printing the E-Way Bill

Once generated, the screen changes to the "Manage E-Way Bill" dashboard.

  1. Tap Print e-Way Bill.
  2. Vaaniz automatically generates a beautiful, legally compliant PDF containing both Part-A and Part-B details.
  3. QR Code & Barcodes: The printed bill includes a scannable QR Code and a Code-128 Barcode for highway inspectors to easily scan and verify your shipment.

3. Updating Vehicle Number (Part-B)

Did the transport truck break down, or are the goods changing vehicles midway? You must update the government portal.

  1. From the E-Way Bill management screen, tap the yellow Update Vehicle No. (Part B) button.
  2. Enter the New Vehicle Number.
  3. Enter the Place of Change (the city where the truck is changing).
  4. Select the Reason for Update (Break Down, Transshipment, or First Time).
  5. Tap Confirm Update. The new vehicle is instantly synced with the NIC portal.

4. Canceling an E-Way Bill

If an order is canceled by the customer or the goods are not moving, you must cancel the E-Way bill within the government's 24-hour limit.

  1. Tap the red Cancel E-Way Bill button.
  2. Confirm the cancellation.
  3. Vaaniz will void the E-Way Bill on the government server and remove the details from your local invoice.

⚠️ Note: You cannot cancel an E-Way bill if the highway inspector has already verified it in transit, or if the 24-hour window has expired.
