👥 Staff & Team Management

As your business grows, you can't be at the checkout counter 24/7. Vaaniz allows you to securely invite employees, cashiers, and managers to connect to your shop's database while giving you total control over what they are allowed to see and do.

(Note: To access this module, your app must be connected to a Cloud Server, and you must be logged in as the Admin/Owner).

To access this screen, navigate to Settings and tap Staff Management.


1. The Staff Dashboard

The dashboard displays a list of all active employees currently authorized to access your shop.

At a glance, you can see their Email Address and a quick summary of their access level (e.g., "Access: Billing + 2 Tabs").


2. Adding a New Employee

To grant a new staff member access to your shop, you need to create a dedicated login for them.

  1. Tap the big green Add New Employee button.
  2. Enter their Email Address. (This will be their username).
  3. Create a secure Password (must be at least 6 characters).
  4. Set their permissions (see section 3 below).
  5. Tap Create Account.

Once created, the employee can download Vaaniz on their own phone, scan your Server QR Code, and log in using these exact credentials!


3. Role-Based Access Control (Permissions)

Not every employee needs to see your profit margins or edit your inventory. Vaaniz uses a strict Role-Based Access Control (RBAC) system.

When adding or editing a staff member, you will see a list of Tab Access Permissions:

  • Billing (POS): By default, every staff member is given access to the Billing screen so they can ring up customers and generate invoices. This cannot be turned off.
  • Inventory: Turn this ON if you want the employee to be able to add new products, change prices, or print barcode labels.
  • Suppliers: Turn this ON for managers who are responsible for receiving stock deliveries and logging purchase bills.
  • Analytics: Turn this ON only for trusted managers or partners. This grants access to your total sales, net profit, and tax reports.
  • Orders: Turn this ON so the employee can process returns, collect pending debts, and view past transaction history.

đź’ˇ Example Setup: For a standard cashier, leave all switches OFF. They will only be able to log in, open the POS, and print bills. They won't see your profits or be able to change inventory prices!


4. Editing & Revoking Access

Employees get promoted, and sometimes employees leave. Managing their access takes just one tap.

  • Edit Permissions (Pencil Icon): Did you promote a cashier to a manager? Tap the Pencil icon next to their name to open their profile. You can instantly toggle their permissions ON or OFF without needing to reset their password. Tap "Save Changes" to update their access immediately.
  • Revoke Access (Trash Icon): If an employee leaves your business, tap the red Trash Can icon. This will instantly delete their account and permanently revoke their ability to log into your shop's database.
